Privacy Policy & Terms of Use
How we collect, use and protect your personal data — in line with the Kenya Data Protection Act, 2019.

1.Who we are
Eleven Solutions Ltd (“we”, “us”) is a freight and logistics operator registered in Kenya, at P.O. Box 1977-0203, Ruiru, Kenya. We are the data controller for the personal data described in this policy.

2.What we collect
Only what we need to quote, move and invoice freight.

3.Why we are allowed to process it
Under section 30 of the Act, we rely on:
- Performance of a contract — to quote, transport your cargo and invoice you.
- Legal obligation — tax and KRA eTIMS records, transport and employment law.
- Consent — when you voluntarily submit an enquiry through our website. You can withdraw it at any time.
- Legitimate interests — securing our systems and preventing fraud, balanced against your rights.
4.Who we share it with
We do not sell personal data. We share it only with service providers who process it on our instructions, and where the law requires it:
- Hosting and database — our platform and its database.
- Email delivery — to send quotations, invoices and notifications.
- Mapping — to calculate distances and routes for pricing.
- Accounting — where invoices are synchronised to accounting software.
- Kenya Revenue Authority — invoice data, as tax law requires.
5.Storage outside Kenya
Our systems are currently hosted outside Kenya (in the European Union), and some of our service providers process data outside Kenya. Where personal data is transferred out of the country, we take reasonable steps to ensure it remains protected to the standard required by sections 48 and 49 of the Act.

6.How long we keep it
- Invoices and tax records — kept as long as Kenyan tax law requires.
- Customer accounts and journey history — kept while you are a customer, and for a reasonable period afterwards for legal and accounting purposes.
- Website enquiries that don’t become business — kept only as long as needed to follow up.
- Staff and driver records — kept for the duration of engagement and the period required by employment law.
7.Your rights
Under section 26 of the Act you have the right to:
- Be informed about how your data is used
- Access a copy of the personal data we hold about you
- Correct data that is inaccurate or incomplete
- Delete data we no longer have a lawful reason to keep
- Object to processing, including for marketing
- Receive your data in a portable format
Email info@elevensolutions.co.ke and we will respond as soon as we reasonably can, and in any event within the timeframes set by the Act. Customers with portal accounts can view and update their own details at any time under Company Profile.
If you are unsatisfied, you may complain to the Office of the Data Protection Commissioner (ODPC), Kenya.
8.How we protect it
- Encrypted connections (HTTPS) across the website and portals
- Passwords stored only as irreversible hashes — never in readable form
- Role-based access, so staff see only what their job requires
- Optional two-factor authentication on staff accounts
- An audit trail of every change to customer records
- Customer portal accounts can only ever see their own company’s records
If a breach occurs that presents a real risk to you, we will notify the ODPC and affected individuals as the Act requires.
9.Cookies
We use only what is necessary to make the site and portals work — chiefly a secure cookie that keeps you signed in. We do not use advertising or cross-site tracking cookies.
10.Terms of use
- Quotations are estimates, valid until the date stated, and subject to vehicle availability and confirmation of cargo details.
- Information you submit must be accurate — cargo weight and description affect pricing, safety and legal compliance.
- Portal accounts are issued to a named business. Keep your credentials confidential and tell us immediately if you suspect misuse.
- Website content is provided in good faith. Transport services are governed by the contract agreed for each engagement, which takes precedence over anything on this site.
11.Changes
We may update this policy as our services or the law change. The date at the top always shows the current version, and material changes will be communicated to account holders.
